Enquiries to the head office are dealt with in writing. A letter that carries its own detail can be answered in one reply; one that does not will only produce a request for more information.

The company does not sell to the public, so an enquiry about buying goods or services will be returned rather than answered. Everything else — supply to the head office, confirmation of particulars, correspondence about a filing — is welcome.

What to include

Six lines, in whatever order suits you.

  • Who you are, and the legal name and company number of the business you write for.
  • What you want from the head office, stated in a sentence.
  • Whether your enquiry concerns the head office itself or another business.
  • Any reference, invoice number or previous correspondence the matter relates to.
  • A postal address for the reply, and a telephone number or email address if you would rather be answered that way.
  • Anything that fixes a date to the matter, such as a filing deadline.

Please do not send original documents, identity documents or bank details with a first enquiry. If any of that is needed, it will be asked for and a route for sending it will be agreed.

How an enquiry is handled

  1. Received and read

    Correspondence is opened at the registered office and read in full before anything is decided.

  2. Placed with the right party

    If the matter belongs to the head office it is dealt with here. If it belongs to another business, it is passed on or returned to you with an explanation.

  3. Answered in writing

    The reply states what has been agreed, what has not, and what remains outstanding. Nothing is treated as agreed until it has been confirmed in writing.

  4. Filed

    The correspondence is kept with the company's records so the position can be checked later.
